Overview

Task schedules can be set a number of ways within the ZetaSafe software:

• At the time the task is added to the compliance scheme for a certain asset
• Asset Details screen (side menu)
• Entering a result for task which has a defined schedule but the schedule has not yet been started
• Importing task results to tasks which have defined schedules but which have not been started yet
• Act on Selected/Act on All assets from the Asset list screen

Tasks can also be ‘rescheduled’ from the above places, in addition the schedule frequency can be edited at any time and a further three options exist as to how the ‘new’ schedule can be rolled out to your assets.  For example a monthly task may now be required every two weeks.

All the options for setting a schedule in ZetaSafe require the user to select the ‘seed date’, that is the first event in the schedule being cast.  With the exception of schedules started by entering/importing a result.  The various options and any pitfalls/benefits are discussed below:

Set Task Schedule when Adding a New Task (All user types except: Basic/Email/Read/Handheld only)

When a new task is added to the compliance scheme these tasks can be scheduled immediately for all assets which will contain the new task.  Configure the schedule as normal and on the last screen enter the seed date for the schedule(s) in the Schedule from Date field.  For all assets of this type the task will be added and scheduled for the selected date unless the asset is suspended or deactivated.

When setting schedules from the asset details screen it is possible to enter different dates for each available task, or enter one date at the top and it will be applied to all the tasks. 

NOTE when scheduling hourly tasks from here it will be necessary to check the time of the schedule is as you expect.  Schedules are saved in UTC.

Schedules Started with a Result (All user types except Email/Read only)

Schedules started by a result can be used to assist the planner.  Where a technician already has a set route on site, on the first visit after on boarding with ZetaSafe the technician can go around as normal and ZetaSafe will adhere to that pattern going forward.  If Buildings A and B are completed on the first day of the month, they will be scheduled on the first for subsequent months.

To configure a task so that the schedule will not be cast until the first result is entered (via the Mobile app, an import or by entering a result on the web) set up the schedule as normal, by leaving the ‘Schedule from Date’ field blank the system understands the schedule will be cast from the first result entered (per asset). 

Caution should be exercised when entering/importing historic data, note that schedules will start if they are available and are not already running.  ZetaSafe prevents the entry of data over 5 years old to mitigate this risk somewhat but entering a result in 2015 could potentially start a weekly schedule – and that is a lot of missed tasks!

Schedules Started/Restarted with AOS/AOA

If it is your intention only to reschedule one or two tasks from an entire asset, this is not the right function.

Schedules started using the Act on Selected or Act on All functions have the feature that they will reschedule ALL tasks within the selected asset(s) for the date entered.  Where a task is set to not scheduled they will remain unscheduled.  Assets which are suspended or deactivated will be ignored by this function.
