Whilst it is possible to add a note to any task result, it is sometimes more appropriate to add a note to the asset itself. For example, a broken cover on a Fire Alarm control probably does not have a specific task but reporting this so it can be fixed is still important. A configurable widget is available on the dashboard; a full list of all open asset notes can be accessed from this widget.
Asset notes are one of the items which documents can be uploaded to, either during the creation of the note or at a later stage. Asset note documents are visible from the Asset Details screen side menu, the Documents widget, they can also be viewed in Document Explorer and are searchable.
Asset notes cannot be deleted from the system.
Asset notes are visible from:
- Open Asset Notes widget, this can be added to the dashboard and configured in a number of ways.
- Client Mgmt. screen. Enables user to view list of all asset notes across the entire client database.
- Watching User Emails. Unless a user has opted out of receiving ‘watching user’ emails they will receive a message each time they are added as a watcher to any given note, plus when any amendments or additions are made to that note, until such time as the note is closed or the user stops watching the note.
- Asset Details Screen. A side menu item enables the user to view all asset notes for any given asset, irrespective of the note status. Asset and result notes are also listed at the bottom of the asset details screens.
- Document Explorer. Documents which have been attached to asset notes will be displayed here.
To ADD an asset note
Go to the asset details screen for any asset in the system and select Add Asset Note from the side menu.
To EDIT an asset note
Asset notes can be edited at any time and one or more documents uploaded to support them. Find the appropriate note by searching for the note identifier (starts AN...), by navigating to the relevant asset, or select the note from the Open Asset Notes widget or other list.
Asset notes are listed at the bottom of the Asset Details screen (beneath the asset document section), a menu option is also provided in the side menu which takes the user to a list view.
Click to view the required asset note. To add further comments to a note, scroll to the bottom of the screen where new comments can be entered directly. To amend other details about the note, such as the Fix By Date or Contractor, select Edit from the side menu. Standard comments can be added simply by clicking the desired comment in the list.
It is not possible to remove or amend the Note ID, this is automatically assigned by the ZetaSafe system.
